DCU Apps is DCU's installation of Google Apps for Education, a suite of online software applications that Google offers to educational institutions and non-profit organisations free of charge offering excellent benefits.

Operational excellence is one of the foundations of the DCU Strategy 2012-2017. DCU Apps is a fantastic set of modern applications which is continually updated and upgraded helping DCU to keep pace in a fast changing IT world. These modern business tools will form an important part of the President's vision for a '21st Century Digital Campus' where state-of-the-art IT is part of the DCU fabric. DCU Apps Email is Google's web-based email application. It has a lot of great features you won't find in other email applications. Calendar Features

Drive is an online file storage system in the same mold as Dropbox. For the best experience with Google Drive we recommend you download the Google Drive Application for your personal computer or install it to your DCU machine using ZENworks. You can upload or sync your local files to a server and have an online back-up available to you from any device. For more information on this service click here

Drive Features

  1. Upload Files for Storage: Receive unlimited free storage with DCU Apps.
  2. Share Files: Share files with friends and co-workers easily with DCU Apps Drive.
  3. Google Docs: When using Drive via your web browser you will have access to the Google Docs suite.

Drive Installation

  1. For Personal Computers: Follow this link to the Google Drive website for installation and instructions.
  2. For DCU Device: Follow the simple ZENworks instructions to install it on your machine.
  3. For Browser Use: We highly recommend you use the Google Chrome web browser to get the most out of Drive.

Docs Features

  1. Work Together: Accomplish more and edit files with somebody else in real time. Even if you're half a world away.
  2. Create & Edit: Create brand new documents, presentations or spreadsheets through Drive or edit an existing file.
  3. Quality Software: Drive offers you everything you would expect from a traditional software.
  4. Standard Format: Drive creates documents in popular formats, such as ".doc" and ".pdf".
  5. Ease of Use: The Drive interface is designed by experts to make it as intuitive as possible.
  6. Simply Send: With DCU Apps integration, simply attach a Drive file to an email to send it.

Is the DCU Apps services secure?

Many of Google's information security team have advanced degrees and are thought leaders who are defining the industry's security practices. They take security very seriously as their business model depends on information security being paramount. In DCU Apps, all browser based information is transmitted securely using SSL.

 Who owns the data stored in the DCU Apps accounts?

All data remains the property of DCU. Google holds the data in trust but is bound by the same data protection laws as if your data were stored locally in DCU. Please see the DCU data protection policy.

There will be no advertising to staff as part of these services. Please see their information on security and privacy if you have any concerns in this area.

Google will not share your data with third parties. Even in a case where they receive data access requests for legal reasons, they will notify the organisation in question.

There are environmental benefits to using DCU Apps which fit nicely with DCU's Environmental Sustainability Strategy. As these services are cloud based they will not contribute to our energy consumption on campus, thus helping to reach our goal of 3% reduction in energy use each year.

 Sharing sensitive information by email 

Sharing sensitive information by email


Unencrypted email is not a secure way to transfer sensitive information regardless of the email solution or where that email solution may be hosted ('in the cloud' or 'on premises'). Advice in this regard is not changing as a result of a move to an email solution provided by Google.

Encryption should be used to protect sensitive data sent by email. The DCU Data Handling Guidelines should be referred to for guidance as to what data should be encrypted.

 DCU's agreements with Google Inc 

DCU's agreements with Google Inc


On foot of advice from DCU's legal advisors, DCU has entered into agreements with Google Inc to provide the services we refer to as 'DCU Apps'. These services are provided by Google Inc. Certain Google services are covered under the 'Google Apps for Education Agreement'. These services are referred to as 'Core Google Services'. The Core Google Services are Gmail, Google Contacts, Google Calendar, Google Drive, Google Docs, Google Sites, and Google Groups.

Services that do not form part of the Core Google Services are referred to as ‘Google Consumer Apps’. General 'Google Terms of Service' apply to these products. Examples include, but are not limited to, YouTube, Google+ and Google Maps. Google's Privacy Policy forms part of Google's Terms of Service.

Google Apps Acceptable Use Policy applies to all Google services.

All members of the DCU community are encouraged to review the terms of service and applicable policies of all Google services they intend to use. DCU routinely receives advice from the University’s legal advisors in relation to Google agreements.
